Reduce screenshot size while keeping the useful text readable

Start with PNG and sharpening off. Choose a smaller export only as far as the interface labels and details remain useful to the person receiving it.

Decide what the screenshot needs to communicate

A screenshot might show a bug, a payment confirmation, a chart or a set of application instructions. Identify the part the recipient actually needs before reducing it. A full monitor capture can leave a small dialog unreadable in a message preview. Crop the useful area in an editor or use an exact crop here when the shape suits it, then keep enough pixels for the words to be read.

The tool does not perform OCR, select a window automatically or redact personal information. Review browser tabs, account names, email addresses, notifications and payment details yourself. If those should be removed, make a properly redacted source before compression. Re-encoding metadata does not hide text visible on the screen. Keep an unedited original separately when you need it for your own records or a support investigation.

Preserve small labels before considering a format change

This preset keeps the original dimensions in PNG with sharpening off. That avoids an immediate lossy encode or resize, but it may not make the file smaller. PNG is useful for interface text, narrow borders and flat colors. Its file size cannot be controlled with the JPEG-style quality slider. If the destination requires a smaller file, choose a justified dimension reduction or compare an alternative format.

Inspect the smallest important text at the size the recipient will see. Check numbers in tables, punctuation, fine chart lines and the focus state of a button. A screenshot with video or a photographic background may behave differently from a simple settings dialog. WebP or JPEG can reduce an opaque screenshot, but watch colored fringes and softened letters. Keep PNG if the result loses the detail the screenshot was intended to explain.

Test the attachment in the actual sharing workflow

Download the file and attach it to the support ticket, chat or document draft you plan to use. Check whether that service displays the original file or creates another compressed preview. If readable text is essential, the recipient may need to open the attachment rather than rely on the small preview. Follow the service's file requirements instead of assuming a generic byte target is suitable.

For a sequence of screenshots, keep a sensible order and consistent naming. A batch applies the same settings to every file, which may be unsuitable for a mixture of long phone captures and small dialog boxes. Split them into groups and inspect one difficult example from each. Local processing means the screenshot is not uploaded to this compressor, but you still choose what to share with the eventual recipient. Preserve a readable result over a small file that can no longer explain the issue.

Compress a photo

Try a long phone capture separately from a small dialog

A long settings screenshot and a cropped error dialog may need different bounds. Fitting the long image into a short height can make every label tiny, while the dialog may remain readable with a modest reduction. Check them as separate cases rather than applying one screenshot preset by filename extension. For step-by-step instructions, a sequence of focused captures can communicate better than one very tall image, but make that selection in your capture or editing workflow. Keep the relevant step and readable labels in each file, then confirm the receiving support system has not created an unusably small preview.

Questions people ask

Why did compressing make the screenshot's text blurry?

Reducing pixels or using a lossy format can soften small lettering. Keep PNG, use larger dimensions or crop to the relevant area before resizing.

Can this hide account information in a screenshot?

No. It does not redact visible content. Remove private text and details in an editor before processing and sharing the image.

Why is PNG output no smaller than the original?

At unchanged dimensions there may be little saving, and the browser's encoding may be larger. PNG has no adjustable photo quality control; compare a justified resize or format change.
